We Are

  1. “Cojent Ltd”, a company registered in Scotland under company number SC735273 and with its registered address at 25 Sandyford Place, Glasgow, Scotland, G3 7NG.
    The legal entities listed above are all referred to in this contract, collectively and individually, as “Cojent Ltd”.

    1. Cojent Ltd will appoint its partner laboratory, TFI Biomedical, a company registered in Scotland under company number ……………….., whose registered address is…………………………………, to assist with our engagement and warrants that they will be held to the same accountability.
    2. Cojent Ltd will employ Crelio Health Systems for the registration, validation and customer communications during the testing and reporting of tests.
  2. Our Service contract: The contract relates to the health checking service provided by Cojent Ltd to you the customer, in exchange for the price paid by you.
    1. Supplied Testing kits: Some service contracts include the provision of a testing kit as part of the testing service (e.g. “Confidante” STI testing).
    2. Service Level and Timeframes
      1.  Cojent Ltd will ensure your testing kit is delivered within 4 working days of the date of your paid order.
      2. Cojent Ltd will notify you of your test result within 4 business days from receipt of sample into laboratory. Results will be supplied to valid email address supplied by customer. Cojent Ltd will not be responsible for any delay caused my incorrectly inputted contact information. This could cause delay to the above 4-day results notification.
  3. Cojent Ltd will provide you with step-by-step instructions in your testing kit. You should use the testing kit in accordance with this set of instructions. If you do not follow these instructions specifically, it may result in Cojent Ltd being unable to test the sample or report the result to you. You will be notified that your sample has not met sample acceptance criteria. You will be required to purchase another kit if this occurs.
    1. By purchasing our services you are giving Cojent Ltd, its partner laboratory TFI Biomedical, and Healthcare provision partner Est-Ethics your informed consent to perform and evaluate the tests you have ordered.
    2. Cojent Health and TFI Biomedical will use reasonable care and skill when testing the sample. All other aspects of the service will be performed to the same standard. (dispatching, reporting, CSM)
    3. You will be required to provide the following information accurately to Cojent Ltd:
      – the unique registration number (URN/Barcode) on your test kit
      – your date of birth
      – your gender identification
      – your email address (Please note, it is critical this is recorded correctly in order that your results are delivered to the correct email address.)
      – your telephone number
      – the date and time your sample was collected
      – your current address (including postcode)
    4. The information supplied is only used for the purposes of providing the service to which you have consented and purchased, in line with data protection laws. Please see our Privacy Policy for further explanation and detail.
    5. In the event that your test result is above or below a critical threshold and requires immediate medical attention, Cojent Ltd and Est-Ethics will use the contact information you provided to contact you (usually by telephone) as soon as the test result becomes available.
  4. You have a right to cancel the contract within 14 days of the date of order to receive a refund. Where Cojent Ltd has begun to supply the service, the amount of the refund may be reduced to account for the value of services already supplied to you up to the point of cancellation. This amount is calculated by comparing the value of the services already supplied to you to the total paid for the service contract. The process for requesting a refund is detailed at 4.2.
    1. You are entitled to a refund under consumer law where Cojent Ltd does not perform the contract with reasonable care and skill or within the required time periods (Business days).
    2. The rights set out in 4.1 and 4.2 do not affect your statutory rights or other rights under common law. These include the right to seek damages for reasonably foreseeable losses resulting from negligence or breach of contract by Cojent Ltd.
    3.  To request a refund, you should contact us by email at support@cojent.co.uk ( is this correct address) and provide your name, address, order number, order date. You must state you wish to cancel, and the valid reason for cancelling.
  5. As a customer of Cojent Ltd, we will collect personal data about you.
    This information identifies you as an individual. Our policy sets out how Cojent Ltd will use your information. This includes storage and protection of any personal data you have provided or that we otherwise hold about you.

    1. The personal data we collect or hold about you We will collect personal data as part of our online testing kit registration process. Registration is compulsory for all testing and reporting of results to proceed, and it is critical that you provide these details, and confirm your acceptance of this policy, personally. The information we collect during registration includes:
      – the unique registration number (URN/Barcode) on your test kit (it is very important that this is recorded correctly to ensure that your sample is correctly matched to your online registration)
      – your name
      – your date of birth
      – your gender identification
      – your email address (it is very important that this is recorded correctly so that your results are sent the correct email address)
      -your telephone number
      – the date and time your sample was collected
      – your full home address (including postcode)
    2. We will not collect any information which we, or relevant third parties, do not need.
    3.  Once your test sample has been returned to us, and it has been tested, our systems will automatically generate a report. The Report will include personal details you have provided to us about yourself. Cojent Ltd will also hold this information in a centralised database via our systems provider Crellio. Please note that there are limitations inherent in the sample collection and testing process, detailed in the test instructions provided to you when you received your test kit. It is important that the personal data we hold about you is accurate and current, and we cannot be held responsible for incorrect data that is provided by you. Please keep us informed if your personal data changes during your relationship with us. If you fail to properly provide all requested data or provide incorrect data, we may be unable to provide testing or notify you of your results. There is also a risk that third parties could be inadvertently provided with your data if, for example, you have not correctly entered your email address, or your email servers are compromised.How Do We Use That Information?
    4. We will only use your personal data as lawfully allowed to. Cojent Ltd will use your personal data on one or more of the following grounds:
      – Where we need to perform the contract that we have entered with you.
      – Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
      – Where we need to comply with a legal obligation.
    5. You may withdraw your consent to processing at any time by contacting us at support@cojent.co.uk .
    6. Where we are using your personal data that identifies your health data, we are doing that either on the basis of your explicit consent, your vital interests, for public interest, medical diagnostic reasons or preventative or occupational health reasons. In general, Cojent Ltd will use the data provided to test your samples and provide you with results as the registered user of the kit via the report. A single copy of the report will be sent by email to the email address you have provided to us when you registered through the Cojent portal.
    7. After your order/test has been sent to us, make sure to regularly check your emails (including any junk or spam folder) for an email with your report attached.
    8. Personal data required for testing (including test results) is held on controlled computer systems.
    9. Currently, our registration portal is securely maintained By Crelio on Microsoft Azure via Microsoft’s UK-based servers in accordance with their standard terms and privacy statement, which are available at https://azure.microsoft.com/en-gb/support/legal/.
    10. As a controller or processor of personal data, Cojent Ltd and its affiliated companies must process your information fairly and lawfully. We will also process your data in accordance with the instructions of the relevant authority and the terms of our contract.
    11. We also collect, use, and share Aggregated Data for any purpose. Aggregated Data could be derived from your data but is not considered personal data as this it will not directly or indirectly reveal your identity.
    12. We will not use any personal data that we collect for marketing purposes unless you have separately signed up to receive marketing communications from us.
